AI Employee for accounts receivable
AI accounts receivable automation: consistent follow-up without losing financial control.
Accounts receivable work starts after an invoice has been issued. The job is to know what remains open, distinguish an ordinary delay from a dispute, contact the customer with the right context, record commitments and escalate decisions that affect credit, terms or the commercial relationship. An AI Employee can coordinate that journey across the ERP and authorised channels without becoming an autonomous financial authority. The business keeps its policies, owners and system of record while automation reduces searching, manual reminders and lost context.
01
1. Start from the real receivables ledger, not an AI-created list
The workflow should read open invoices, due dates, balances, credit notes, recorded payments and customer status from an authorised source. The ERP or accounting platform remains the system of record. AI may organise and summarise the ledger, but it must not create a debt because data is missing or assume an invoice is still open when a payment has not yet synchronised. Every run retains its reading timestamp and enough references to return to the original record.
Before contacting anyone, deterministic controls should verify that the invoice is valid, the recipient is correct, the balance is positive, the due date is coherent and no explicit hold applies. Disputed customers, special agreements, insolvency procedures or any company-defined exclusion must also be respected. Automating follow-up does not mean bypassing the rules that already protect the commercial relationship.
02
2. Prioritise with context without turning a score into a financial decision
A collections queue can be ordered by due date, amount, response history, open promises, company-defined risk and team workload. AI can summarise these signals and suggest where to act first. This prevents follow-up from depending on a personal spreadsheet or on somebody remembering to call a particular customer. Priority should be explainable: the collector needs to understand which factors moved an account higher in the queue.
Prioritisation is not the same as changing credit limits, blocking orders or declaring a customer uncollectible. Those actions have financial and commercial impact and should remain with the appropriate authority. A model can prepare information for the decision, but credit policies and exceptions must continue to follow approved rules with human involvement whenever the effect exceeds the agent's operating authority.
03
3. Prepare reminders with the right invoice and conversation context
The AI Employee can prepare a courtesy message before due date, a later reminder or a request for confirmation when there has been no response. The message should use verifiable data: invoice number, date, amount, currency, due date and approved payment channel. It can also incorporate contact history so the team does not repeat questions already answered. Useful personalisation comes from real context, not from inventing reasons why a customer has not paid.
The business decides which communications may be sent automatically and which require review. Strategic customers, large balances, open complaints or conflict language can trigger human approval. Templates and tone should be governed, and every message should remain associated with the relevant account and invoice. Follow-up becomes consistent without turning AI into a collector acting outside policy.

4. Record replies, payment promises and next steps
When a customer replies, the work does not end with classifying the email. They may provide an expected payment date, request an invoice copy, say a purchase order is missing, dispute an amount or report that payment has already been made. The agent can extract these facts as structured proposals, link them to the correct document and prepare the next step. The original message remains available so the team can review the interpretation.
A promise to pay needs a date, an amount where relevant, an owner and a status. If it expires without evidence of payment, the case returns to the queue under the defined policy. If the customer says they have paid, the workflow must not settle the invoice because of a sentence in an email: it should check the financial system or create a verification task. This separation prevents conversation and accounting from becoming confused.

5. Separate routine collection, disputes and commercial exceptions
Not every overdue invoice is a follow-up problem. There may be a pricing dispute, undelivered goods, a tax error, a pending return or incomplete documentation. The AI Employee can detect signals, gather the available invoice, order, delivery and communications context and route the case to the right team. While the dispute remains open, automated sequences can pause to avoid contradictory messages or a poor customer experience.
Some requests also exceed routine collections: extending terms, waiving charges, agreeing a schedule, changing conditions or unblocking an account. The agent can prepare the balance, ageing, history and applicable policy, but it should not grant an exception reserved for finance or commercial leadership. Escalating with context is part of the process, not a failure of automation.

6. Connect collections with bank reconciliation without mixing owners
Accounts receivable and bank reconciliation meet when money arrives, but they solve different problems. This owner covers the open ledger, customer contact, promises, disputes and follow-up until payment evidence exists. Bank reconciliation then verifies how a financial transaction relates to invoices and accounting records. Keeping the processes separate makes them measurable and governable without creating two pages competing for the same intent.
When a receipt appears, the collections workflow can provisionally stop reminders and request verification. The existing reconciliation landing is the natural destination for matching, differences, grouped payments and close. Invoice automation likewise remains the owner for document capture and validation. Contextual linking between these processes reflects real operations without absorbing another owner's vocabulary.
07
7. Integrate ERP, email and CRM with least privilege
A pilot may need read access to open invoices in the ERP, access to a collections mailbox and limited write access for notes or tasks. That does not justify full administrative permissions. Each connector should define which objects it can read, which fields it can update and which actions are prohibited. Credentials stay outside the model, while sensitive operations may require approval or be executed only by an authorised person.
Traceability should connect input, decision and action: which balance was read, which rule triggered contact, which message was prepared, who approved it, how the customer replied and what status ultimately remained in the system. If an integration fails or data is stale, the workflow should stop the dependent action rather than continue from a potentially incorrect copy of the ledger.
08
8. Start with one segment and measure quality, not promises
A controlled pilot can be limited to B2B customers without disputes, one legal entity, an amount range and a simple sequence. Before automation, establish a reference for the current process: time spent preparing follow-up, open-invoice volume, responses, broken promises, escalated cases and status errors. Then compare outcomes for the same segment. IA Empleado should not promise a DSO reduction or recovery rate that has not been demonstrated in that business.
Autonomy increases only where evidence supports it. The agent may first prioritise and draft; later, routine and verifiable communications can execute under approved rules. Disputes, changes to terms and credit decisions remain with people. This approach tests whether automation releases repetitive work without sacrificing customer relationships, financial accuracy or the ability to explain every action.
WORKFLOW
Governed accounts receivable workflow
Prioritise cases with explainable rules and prepare the next contact.
Send or submit the reminder for approval according to customer, amount and policy.
Classify the reply and record promises, requests or disputes as verifiable proposals.
Pause and escalate exceptions; verify payments through the financial system and reconciliation.
Record outcomes and metrics before deciding whether autonomy should increase.
METRICS
What to measure
Preparation and follow-up time per invoice or account.
Percentage of contacts using correct data without human correction.
Open, fulfilled and expired payment promises.
Disputes and exceptions escalated with complete context.
Invoices requiring status correction after financial verification.

FAQ
Frequently asked questions
Can AI decide to block a customer for non-payment?
It should not assume that authority by default. It can gather balance, ageing, history and policy, but blocking orders, changing credit or granting exceptions should follow the roles and approvals defined by the business.
Is accounts receivable the same as bank reconciliation?
No. Accounts receivable manages open invoices, contact, promises and disputes. Reconciliation verifies how bank transactions correspond to invoices and accounting records. They are connected processes with different owners.
Can it send reminders automatically?
It can do so for segments and situations approved by the business, using verified data, governed tone and clear exclusions. Sensitive cases, disputes or balances above a defined threshold can require human approval.
