Ingest or query transactions from an authorised source while retaining the original statement.
AI Employee for finance
AI bank reconciliation: match transactions, invoices and accounting records without losing control.
Reconciliation is not simply finding two equal amounts. A business needs to relate bank transactions to invoices, receipts, payments, fees, refunds and ledger entries, explain what does not match and preserve evidence for close. An AI Employee can prepare and coordinate that work by proposing matches and separating exceptions that require accounting judgement. The authorised financial system remains the source of truth, while closes, adjustments and sensitive decisions stay under the authority defined by the business.
01
1. Ingest transactions without turning AI into the bank
The workflow can receive CSV, Excel, bank-statement exports or other institution formats, or query transactions through an authorised integration when the business already has one. Every batch retains account, period, currency, extraction timestamp and source reference. Separating ingestion from interpretation makes it possible to audit what data actually arrived and prevents the model from silently filling missing fields.
Automation does not require unlimited bank access. The design should use the minimum channel required, credentials managed outside the model and read-only permissions whenever the use case allows it. If a statement is incomplete, the period does not match or control balances are missing, the batch stops before producing a misleading reconciliation.
02
2. Normalise descriptions without losing the original record
Banks describe transactions with text, abbreviations and references that vary by institution. The AI Employee can structure value date, amount, currency, payer, payee, reference and a normalised description while always preserving the original line. A reviewer can therefore understand why a match was proposed and return to source data whenever ambiguity exists.
Normalisation must not turn a hypothesis into a fact. A reference resembling an invoice number can become a search signal rather than a final association. Deterministic rules for account identifiers, references, amounts and dates can be combined with semantic classification while preserving which part of the result came from a rule and which part was proposed by the model.
03
3. Propose matches against invoices, receipts, payments and ledger entries
The core process compares each bank transaction with authorised ERP or accounting records. A receipt may relate to a customer invoice, a payment to a supplier invoice, a fee to an accounting rule and a refund to the document that originated it. The system can weigh references, counterparty, amount, date, currency and historical relationships to generate explainable candidates.
One-to-one cases are only part of the work. There are also grouped payments, partial receipts, fee differences, advances and transactions that settle several documents. The workflow should support one-to-many and many-to-one proposals within business-defined tolerances. When evidence is insufficient, the correct output is unreconciled rather than inventing a link to inflate the automation rate.
04
4. Separate clear matches from accounting exceptions
Each proposal can be classified by evidence level and reason. Exact matches with consistent reference, counterparty and amount can enter a high-confidence queue. Amount differences, duplicated references, unknown counterparties, out-of-period dates or multiple candidates move to an exception queue with the information required to resolve them.
Confidence should not be an opaque score that decides by itself. The interface should expose signals: which invoice matches, which rule was applied, what difference exists and which data is missing. The finance owner can accept, reject or correct the proposal. That decision is recorded and can inform future rules without automatically turning a one-off correction into global policy.
05
5. Keep adjustments, postings and close under financial authority
A difference may suggest a bank fee, withholding, rounding item or error, but identifying a likely cause is not the same as authorising a journal entry. The AI Employee can prepare a draft with proposed account, amount, supporting document and reason while writes remain limited to permitted schemas and require approval whenever company policy demands it.
The same principle applies to close. Automation can check that no transactions remain unclassified, summarise open exceptions and gather evidence, but locking a period or declaring a reconciliation final has financial impact. It must respect roles, segregation of duties and controls already present in the ERP rather than creating parallel authority inside the agent.
06
6. Connect reconciliation with invoicing and expense management
Bank reconciliation does not replace invoice processing or expense management. It is a distinct stage that verifies how financial movements relate to documents and records that already exist. The workflow should therefore connect to invoice automation when a supplier document is missing and to expense management when a transaction belongs to a corporate card, receipt or employee reimbursement.
It can also detect that an expected receipt has not appeared or that a payment exists without a supporting document. Those signals create work for the owning process; they do not justify duplicating its content or logic. Keeping separate owners lets reconciliation, accounts payable, expenses and general accounting cooperate without competing for the same search intent or mixing operational responsibilities.
07
7. Design a measurable pilot before expanding autonomy
A useful pilot starts with one account, a closed period and clearly identified sources. Measure ingestion coverage, the percentage of transactions with a correct candidate, false positives, exception-resolution time, outstanding items and later corrections. Comparing against a human reference reconciliation shows where the system adds value without claiming accuracy that has not yet been demonstrated.
Autonomy can grow by category. First the system proposes; later, deterministic low-risk matches may be confirmed within approved rules, while material exceptions retain human review. The goal is not to remove the finance team but to reduce repetitive searching and matching so people can focus on differences, controls and decisions that require judgement.
WORKFLOW
Governed bank reconciliation workflow
Normalise references and find candidates across invoices, receipts, payments and ledger entries in the system of record.
Separate clear matches from exceptions and expose evidence for every proposal.
Review differences, adjustments and ambiguous cases with the finance owner when required.
Record the decision, reconcile through the authorised system and retain traceability for close.
METRICS
What to measure
Percentage of transactions with a correct candidate against a human reference reconciliation.
False-positive rate and later corrections to automated match proposals.
Average resolution time and volume of outstanding exceptions per period.

FAQ
Frequently asked questions
Can AI automatically close a bank reconciliation?
It can prepare matches, detect differences and gather evidence, but close should respect the roles, tolerances, segregation of duties and approvals defined by the business. A pilot should normally keep final close under human financial authority.
How is this different from invoice automation?
Invoice automation captures and validates purchase or sales documents. Bank reconciliation starts from financial transactions and verifies how they relate to existing invoices, receipts, payments and ledger entries. The processes connect, but their inputs, controls and search intent are different.
