Receive and structure the request with a verifiable source.
AI Employee for procurement
AI procurement automation: from request to purchase order without losing control of suppliers or spend.
Procurement combines internal requests, budgets, suppliers, policies, approvals, purchase orders and delivery changes. When that journey lives across email, spreadsheets and the ERP, buyers spend time collecting context and chasing replies. An AI Employee can coordinate repetitive work: structure a request, request quotes from authorised suppliers, compare terms, check rules, prepare the order and follow confirmations. The business retains authority over supplier choice, spend, exceptions and sensitive changes; the ERP or procurement platform remains the system of record.
Start with the process, review controls, then move to metrics, related routes and sources.
01
1. Turn an internal need into a verifiable purchase request
The workflow starts from a real business need: material, service, renewal or replenishment. AI can collect description, quantity, cost centre, required date, project, location and documents from forms, email or authorised channels. Before moving forward it checks mandatory fields and catalogues so an incomplete request does not silently become a purchase. The original request and every extracted field remain linked for review. A structured request is not an authorisation: budget, category, thresholds and responsible roles come from governed sources. If data is missing, a restriction applies or an unapproved supplier is requested, the agent prepares the exception and routes it to the right person without inventing codes, budget or approvals.
02
2. Request quotes without turning AI into the sourcing authority
Where supplier comparison is appropriate, the AI Employee can prepare an RFQ using specifications, quantities, delivery location, response deadline and conditions already defined by the business. It selects recipients from approved lists, records which version each supplier received and keeps updates consistent. Automation should not add a new supplier by intuition or reveal commercial information between competitors. Onboarding, qualification, conflicts of interest, sanctions and tax or contractual requirements continue through the corporate process. The agent can collect documents and flag missing evidence, but a sourcing decision with material impact remains with the authorised role and enough evidence to explain why an alternative was selected.

3. Compare complete offers, not only unit price
Responses may arrive as PDFs, spreadsheets, portals or emails with different formats. AI structures price, currency, freight, minimum quantity, lead time, delivery date, validity, payment terms and supplier references while preserving traceability to the source. If a condition is unclear it is marked as unknown rather than filled with an assumption. The comparison can normalise units and present scenarios, but separates objective data from recommendations. A cheaper supplier may have an incompatible lead time, excessive minimum quantity or unapproved terms. The team must see differences and criteria. The agent can rank alternatives under known rules, but cannot hide trade-offs or declare a winner when policy requires human evaluation.
04
4. Check budget, policy and approvals before committing spend
Before a purchase order is created, the workflow checks amount, category, cost centre, supplier, contract and thresholds against current rules. It can detect split purchases, off-catalogue suppliers, terms that differ from contract or requests needing additional approval. The result should explain which rule applied, which data triggered it and who must intervene. AI should not approve its own spend or bypass segregation of duties. If the business requires manager, procurement or finance approval, the agent prepares the case and waits for a verifiable decision. Autonomy limits may vary by category, legal entity or amount, and every approval is recorded with identity, time and scope.
05
5. Prepare the ERP purchase order with deterministic controls
After approval, the AI Employee can prepare an order with the correct supplier, lines, quantities, prices, addresses, dates and references. Before writing, it verifies that the selected quote is still valid and no critical data changed after approval. Creation can remain as a draft or execute automatically only where the granted scope allows it. The ERP keeps official numbering, master data and status. The agent needs persistent identifiers and idempotency so the same request cannot create duplicate orders. Later changes to price, bank details, supplier or quantity may require fresh approval. Automation gains speed because it respects these boundaries rather than removing them.
VALIDATE THE IMPACT
Before expanding automation, calculate whether volume and time justify a pilot.
Compare current manual work with an automated scenario and use that baseline to decide the next step.
06
6. Follow supplier confirmations, dates and changes
Sending the order does not end the process. The supplier may confirm, propose another date, change a quantity or report a stock issue. The agent reads the reply, associates it with the order and compares the proposal with what was approved. Compatible confirmations update permitted tasks or fields; material differences become exceptions with context for procurement or operations. Automated follow-up helps when confirmation is missing, but uses a governed cadence and stops when an active conversation exists. A promised date in an email does not replace the official date without control when the ERP requires validation. Separating message, proposal and confirmed status prevents operational commitments from an unreviewed interpretation.
07
7. Connect procurement with invoices without mixing SEO owners
Procurement connects with receiving and accounts payable, but each process has a different responsibility. This landing owns request intake, sourcing, comparison, approval, ordering and supplier follow-up. The invoice automation landing remains the owner for invoice capture and processing; bank reconciliation owns matching financial transactions. Contextual linking reflects procure-to-pay without duplicate pages. When an invoice arrives, the approved order and receipt provide context for validating differences, but the procurement agent does not declare a financial obligation paid. A delivery issue may require intervention before an invoice is accepted. These boundaries let IA Empleado expand around real processes while preserving one clear canonical owner per intent.
08
8. Start with one controlled category and measure before expanding
A pilot can be limited to recurring purchases in one category, qualified suppliers, one legal entity and known thresholds. Before automation, measure request-to-order time, clarifications, quotes compared, pending approvals, post-approval changes and manual follow-up work. Then compare the same scope. IA Empleado should not claim savings or cycle-time reductions that have not been measured in that business. Autonomy increases where evidence demonstrates stability: first structure requests, RFQs and comparisons; later routine communications or order drafts. Supplier selection, material spend, exceptions, bank-detail changes and policy deviations remain under explicit controls and human review where required.

FAQ
Frequently asked questions
Can AI choose a supplier and approve a purchase by itself?
It should not assume that authority by default. It can collect quotes, normalise terms and apply known rules, but supplier selection, material spend and exceptions must respect defined roles, thresholds and approvals.
Does it need to replace the ERP or procurement tool?
No. It works across existing systems through authorised least-privilege access. The ERP or procurement platform retains master data, orders and official status.
Is procurement automation the same as invoice automation?
No. Procurement covers request intake, sourcing, comparison, approval, ordering and follow-up. Invoice automation covers capture, validation and processing of the received document. They connect within procure-to-pay but have different owners.
